Who we are
Southdowns Skin Health is a doctor led skin health clinic operating at Southdowns Clinic, Westbourne, West Sussex PO10 8UE. We are the data controller responsible for your personal data.
What information we collect
We collect personal information when you contact us, book an appointment, or attend our clinic. This includes:
- Name, contact details, and date of birth
- Medical history relevant to your treatment
- Treatment records and clinical photography (Observ520x imagery)
- Payment information processed via secure third party providers
- Communications you send to us
How we use your information
Your information is used to:
- Provide safe, appropriate clinical care
- Maintain your medical records as required by law and professional regulation
- Communicate with you about your treatment and appointments
- Process payments and manage our business
- With your separate consent, send you newsletters or marketing
Lawful basis
We process your information under the lawful bases of contract (providing the treatment you've booked), legal obligation (record keeping), legitimate interest (managing our business safely), and consent (where required, such as marketing).
Your health information is special category data under UK GDPR, and we treat it with particular care. We process it for the provision of healthcare under Article 9(2)(h), and we ask for your explicit consent before taking any clinical photography.
Who we share data with
We only share your information with trusted providers who help us run the clinic, and never for their own marketing. These are:
- Aesthetidocs, our secure booking and clinical records system
- Vercel, who host this website
- Google Maps, which provides the map on our contact page
- Our partner pharmacy, only if you order products through them
- Our email service provider, for account and appointment emails
Website accounts
If you create an account with us, we store your name, contact details, any optional details you choose to add, your order history and your messages. We use this to manage your care and your orders. You can ask us to delete your account at any time.
How we store and protect your data
All personal and medical information is stored securely. Digital records are held on encrypted, password protected systems compliant with healthcare data security standards. Paper records, where retained, are kept in locked storage. We retain medical records in line with professional guidance, typically a minimum of 8 years from the date of last treatment.
Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request erasure (subject to our legal record keeping obligations)
- Object to certain processing, including direct marketing
- Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk
